General Statement of Job 

 The Grants Assistant performs responsible, professional, administrative work coordinating, ensuring compliance, managing, and monitoring grants within the agency, under the general direction of the Grant Manager and the Chief Financial Officer. 


Qualifications 

  • High school diploma or GED equivalent.
  • Must possess and maintain a valid driver’s license.
  • Associate’s degree in planning, public or business administration, social sciences, or a related field or two (2) years of experience in researching, developing or administering grants or endowment funded projects, including preparation of grant applications.
  • Or, any equivalent combination of training and experience that provides the required competencies to perform the job.

Preferred Qualifications 

  • Bachelor’s degree in planning, public, or business administration, social sciences, or a related field or four (4) years of experience in researching, developing or administering grants or endowment funded projects, including preparation of grant applications.

Essential Job Functions 

  • Regular and prompt job attendance.
  • Good communication skills.
  • Must be extremely organized and manage multiple on-going projects.
  • Assist in developing grant applications and related documents (e.g., required reports, budgets, etc.) in coordination with the Grant Manager to submit highly effective grant applications to the applicable funding agency.
  • Prepare and maintain grant records (grant files, internal/ external statistics); maintain a comprehensive annual grants calendar. 
  • Assist in managing overall grant efforts, document payments and expenditures, and financial and programmatic reports.  Ensure completion of all grants (budget changes, extensions etc.); coordinate the submission of all grant reports and required documentation by deadline dates. Ensuring the agency is meeting project goals, the employee conducts program and expenditure check-ins with program teams. 
  • Research grants or special revenue opportunities to obtain additional funding resources for current and proposed services and programs.
  • Participate in research and learn about proposed programs and projects that support overall agency goals, priorities, and requirements, including compliance with laws and regulations.
  • Carefully read Notice of Funding Opportunities (NOFO) and Grant Solicitations to ensure applications and proposals meet program-specific requirements.
  • Learn to navigate multiple grant management portal systems.
  • Demonstrates the ability to report to work timely, consistently, and under pressure, while adhering to the standards and principles of the agency's core values and professionally representing the agency.
  • Compiles periodic and special reports on matters for Chief Financial Officer.
  • Establishes and maintains effective intra- and interdepartmental communications to promote efficiency and consistency with the agency mission, goals, and objectives.
  • Ensure compliance with 2 CFR 200, Federal Financial Guides, and compliance with agency grant policies and procedures.
  • Conduct periodic compliance reviews of grant programs. Assist in preparations for external monitoring visits, assessments, accreditation, and audits. 
  • Attends, facilitates, and/or participates in various staff, agency, and committee meetings.

  • Adequate abilities in developing and revising organizational workflow.

Standards to Perform Job Functions 

Physical Requirements:

  • Sit up to 7 hours per day
  • Stand up to 1 hour per day
  • Walk up to 1 hour per day
  • Occasionally lift up to 10 lbs.
  • Frequently bend, squat, climb, reach, kneel, and/or twist
